Delegates

The registration form constitutes a legally binding contract and our terms and conditions take precedence over those of any other organisation in every case.

Please note, you will be issued with a bar coded name badge on entry to the event. Exhibitors, sponsors, speakers and other associates may have bar code readers. By allowing your badge to be recorded you are deemed to have consented to passing over your registration details. Allowing your badge to be scanned is akin to handing over a business card.

 

Cancellations & changes to bookings

Delegate VIP Pass cancellations are permitted 28 days or more in advance of any event. Don’t Panic Projects & Prolific North regrets that no delegate cancellations are acceptable after 28 days prior to the event date, and therefore no refunds are payable after this point. However a substitute delegate or guest can be nominated. All requests for cancellations or substitutions must be made in writing to info@dontpanicprojects.com.

Where circumstances force cancellation of the event in its entirety, Don’t Panic Projects Ltd & Prolific North Ltd will offer a full refund to each paying delegate / guest within 28 days of the cancellation.

 

Programme & Speakers

After the programme of the event is announced, Don’t Panic Projects Ltd & Prolific North Ltd reserves the right to make changes to the programme, location and/or speakers without prior notice. Such alterations may occasionally be necessary due to circumstances beyond our control and once the changes have been made, we will inform all the delegates / guests.

Digital City Festival makes every effort to ensure that all information given is true, accurate and complete at the time of writing. We reserve the right to make changes to the programme in circumstances beyond our control.

 

Filming & photography

There will be a professional photographer and video production taking place during the event. Registrants consent to filming and sound recording as members of the audience.

We make every effort to ensure that our events are accessible and enjoyable for all our delegates, so if you require any particular assistance, please let us know as soon as possible so that we can make any arrangements.

Digital City Expo Exhibitors

1. DEFINITIONS 
In these terms and conditions, the terms; (i) “Exhibitor” means any person, firm or company who has made application for and who has been granted space in the exhibition. (ii) “Exhibition” means Digital City Expo 2020 on Wednesday 11th March and Thursday 12th March 2020. (iii) “Organiser” means Prolific North / Don’t Panic Projects Ltd.

2. APPLICATION FOR STAND SPACE 
(i) Until the completed space application form has been received and accepted by the Organiser, the Organiser has the right without giving notice to the Exhibitor to reallocate the stand space to another exhibitor and the booking will be null and void. (ii) Upon acceptance of the space application form by the Organiser there shall be a contract between the Organiser and the Exhibitor to which these terms & conditions shall apply.

3. ALLOCATION OF STAND SPACE 
The preference of the location of exhibition space will be given in order of bookings, the first booking having first choice and so on. Every effort shall be made to allocate to the Exhibitor the stand space that has been ordered. However, to facilitate an effective layout of the Exhibition and if the Organiser believes it to be in the best interest of the Exhibition, the Organiser has the right to make a stand reallocation at any time, provided that the reallocated stand space shall not be more than 10% greater or less than the space which has been booked. If the space is reduced, the price for the stand shall be reduced proportionate to the amount of the space reduction.

4. CANCELLATION/REDUCTION OF SPACE
An Exhibitor shall not be at liberty to cancel or withdraw his application for a Stand once it has been confirmed by the Organisers. Such confirmation will only be effective upon receipt of a completed booking form. If any Exhibitor shall fail to pay any sum due to the Organisers or shall contravene or fail to observe any of the requirements of these rules and regulations, the Organisers reserve the right to revoke his allotment of space and to exclude the Exhibitor, his agents and property, at his expense from the Exhibition premises and to re-allocate the Stand space. Such action by the Organisers shall not prejudice any other remedy they shall have against the Exhibitor nor reduce the amount paid or owing by him, the Exhibitor, to the Organisers.

5. CHARGES

The Contractual price includes:
i) Space as allocated on the floor plan.
ii) Shell scheme (if opted for this) – this would include: walls, fascia name board, and standard power pack including 1 x single 500w socket, 2 x spotlights.

The Contractual price does not include: Connections for additional electrics required, electrics on space only stands, additional internet packages, loading and handling of equipment and staff, telephones, additional furniture, flowers or the provision of anything else not expressly mentioned.

6. PAYMENTS
Upon receipt of the booking form the charges will be invoiced in full and payment must be received within 28 days of the invoice or before the event, whichever is sooner, and must be accompanied by a risk assessment for the proposed stand.

In the case of non-payment of any sum payable by the Exhibitor to the Organisers or of the breach or non-observance by the Exhibitor of any terms or conditions of the Contract, the Organisers shall be entitled to re-enter the space and remove and exclude the Exhibitor without prejudice to the right of the Organisers to recover any monies due under this Contract or under any claim for damages by the Organisers.

7. BANKRUPTCY etc.
In the event of any Exhibitor ceasing to carry on business or committing any act of bankruptcy, or of a Company going into liquidation, the Organisers shall be entitled to determine the contract forthwith, and all the monies paid by the Exhibitor under such contract shall be forfeited.

8. PROMOTIONS AND PRESENTATIONS 
The Organiser shall organise and promote the Exhibition in such manner as it considers appropriate and reserves the right at any time to amend or vary the manner or methods of such organisation and promotion. The Exhibitor acknowledges that the Organiser shall not be held responsible for the failure of all or any other contracted exhibitors to attend the exhibition or the failure of any number of attendees to attend the Exhibition for any reason beyond the reasonable control of the Organiser. The name of any exhibitor which may appear on any floor plan or stand number or any statement made by or on behalf of the Organiser that any exhibitor is booked to attend any Exhibition provisionally or otherwise shall not constitute any warranty, representation or undertaking by the Organiser that any such exhibitor shall attend any Exhibition or attend any particular location. Any application for space shall not be conditional on the presence or location of any other exhibitors at the same or any other Exhibition.

9. POSTPONEMENT OR ABANDONEMENT 
The Organiser at any time, without prior notification, may change the location of the venue, the date, the opening and closing times of the Exhibition. The Exhibitor shall not have any claim against the Organiser in respect of any loss or damage whatsoever consequent upon the Exhibition failing to be held for any reason outside the Organiser’s control or the Exhibition venue being or becoming wholly or partially unavailable for the holding of the Exhibition for any reason. If by rearranging the venue, the period of the Exhibition, the size or location of the stands, postponing the Exhibition or by doing any other reasonable thing the Exhibition can be held, the contract for space shall be binding save that it shall be deemed to be varied to allow for the necessary change in venue, dates or period of the Exhibition, stand size, location or otherwise.
